Please read these terms and conditions carefully before using our services

IMPORTANT NOTICE: These Terms and Conditions constitute a legally binding agreement between you and HitHolidays. By making a booking or using our services, you acknowledge that you have read, understood, and agree to be bound by these terms in their entirety.

1. Acceptance of Terms

By accessing and using the HitHolidays website and booking our padel coaching trips, you accept and agree to be bound by these Terms and Conditions.

If you do not agree to these terms, please do not use our services or make any bookings.

2. Booking and Payment

Booking Process: All bookings must be made through our official booking forms or by contacting us directly.

Deposit and Reservations: We will make the necessary reservations and your deposit is accepted in part payment of the agreed total cost of the booking. At the point we receive your deposit payment we secure your accommodation and therefore the deposit becomes non-refundable.

⚠ IMPORTANT: Do not book flights until your room is secured – we cannot guarantee rooms will be available until the deposit is paid. Upon room booking you will receive confirmation to book your flights.

Balance Payment: The remaining balance must be paid at least 21 days before your departure date.

ℹ Late Bookings: For all bookings made within 14 weeks (98 days) of the arrival date, the full amount of the booking cost is required to be paid at the time of booking.

Pricing: All prices are stated in British Pounds (GBP) and are subject to change until your booking is confirmed.

Payment Methods: We accept major credit cards, debit cards, and bank transfers as specified during the booking process.

3. Cancellation and Refund Policy

Cancellation by You:

  • More than 60 days before departure: Full refund minus the whole deposit
  • 30-60 days before departure: 50% refund
  • Less than 30 days before departure: No refund

Cancellation by Us: If we need to cancel your trip, you will receive a full refund or the option to transfer to another available date.

Force Majeure: We are not liable for cancellations due to circumstances beyond our control, including but not limited to natural disasters, pandemics, or government restrictions.

4. Travel Insurance

⚠ ESSENTIAL REQUIREMENT: It is essential that all travellers and groups arrange their own suitable and adequate travel/holiday insurance cover.

Your travel insurance should provide cover in the event of cancellations or curtailment due to injuries that can occur in sport. We strongly recommend comprehensive travel insurance covering:

  • Medical expenses and emergency medical evacuation
  • Trip cancellation and curtailment
  • Sports activities and sports-related injuries
  • Personal belongings and baggage
  • Personal liability

HitHolidays is not responsible for any costs incurred due to lack of adequate insurance coverage.

5. Participant Responsibilities

5.1 HEALTH AND FITNESS

Participants must ensure they are in adequate physical condition to participate in padel coaching activities. Please inform us of any medical conditions that may affect your participation.

FITNESS REQUIREMENTS: By booking onto one of our events you agree that you and all participants are of a sufficient level of fitness to play padel for a number of hours each day during your stay without assistance. By their very nature, our events will require a reasonable level of athletic ability.

Right to Exclude for Safety: We reserve the right to exclude you from individual activities or from the coaching programme as a whole if in the considered opinion of our team the demands of the sport would be detrimental to the interests or safety of you or the group as a whole.

⚠ NO REFUNDS: It is your responsibility to ensure you are able to participate fully and we cannot refund you for any missed activities due to fitness or health reasons.

5.2 PASSPORT, VISAS AND TRAVEL DOCUMENTS

CHECK YOUR DOCUMENTATION: Please check your confirmation email/itinerary paperwork carefully and report any incorrect or incomplete information to us immediately. You must ensure that names are exactly as stated in the relevant passport.

It is your responsibility to be in possession of a valid passport and any necessary visas, or health documents, as required, for the entire duration of your stay, and to ensure that you meet the entry requirements of the countries that you are travelling to.

  • Please ensure that your passport/visa is valid for the duration of your booking
  • Entry requirements may change and you must check the up-to-date position in good time prior to departure
  • Names on booking documents must match passport details exactly

⚠ NO LIABILITY FOR TRAVEL DENIAL: HitHolidays holds no responsibility if any person(s) in your group or entire group is denied travel due to not meeting the requirements of travel. We cannot accept liability or consider refunds if you cannot travel because of incomplete/incorrect spellings on documentation or any person on your booking denied travel due to not meeting the entry requirements of travel.

5.3 BEHAVIOR AND CONDUCT

All participants must behave respectfully towards coaches, other participants, and accommodation staff.

WARNING SYSTEM: If, in the opinion of the HitHolidays representative on site, your behaviour or the behaviour of anyone in your party/group is such that it impairs the enjoyment or upsets other clients, disrupts the activities or upsets any of our local residents or suppliers, in the first instance you will be given a warning.

⚠ IMMEDIATE TERMINATION: If the unacceptable behaviour persists, we reserve the right to terminate all arrangements immediately without refund. Any charges incurred as a result of unacceptable behaviour are the responsibility of the group or individual and must be paid for prior to your departure from the resort or hotel. This may incur extra flight costs and transfer fees payable by the offending party or parties.

Discretionary Termination: We also reserve the right at our absolute discretion to terminate without notice the event arrangements of any client or customer whose behaviour is such that it is likely in our opinion to cause distress, damage to other customers, employees, property/local residents or to any third party. Full cancellation charges will apply and we will be under no obligation whatsoever to provide a refund or compensation for costs that may be incurred.

Third-Party Behavior: HitHolidays has no control over the behaviour of person(s)/group(s) staying at, or visiting the same sports centre/accommodation and is not responsible for any withdrawal or impairment of facilities, loss or damage caused by third parties.

5.4 EQUIPMENT

Participants should bring appropriate sports clothing and footwear. Padel rackets can be provided or rented as specified in the trip details.

6. Liability and Disclaimers

6.1 SPORTS ACTIVITIES

Padel is a physical sport that carries inherent risks. By participating, you acknowledge and accept these risks.

6.2 WEATHER CONDITIONS

Our events are usually held in the sunniest places in Europe which generally ensures good weather. However, we do not accept responsibility in the event of inclement weather to the coaching programme, which may need to be rearranged. Every effort will be made to make up the lost hours but this cannot be guaranteed. Our clients freely accept the risk that weather conditions may affect in whole or part the number of hours to be provided.

6.3 PERSONAL BELONGINGS

HitHolidays is not responsible for loss, theft, or damage to personal belongings during the trip.

6.4 THIRD-PARTY SERVICES

You will appreciate that many people and companies, over whom HitHolidays has no control, are involved in the planning and provisions of your booking. HitHolidays has taken all reasonable steps to ensure that the suppliers of services provided are of an acceptable standard.

Our Responsibility: We will accept responsibility for the proven negligent acts and/or omissions of our employees and agents whilst acting within the scope of or arising as a result of death, bodily injury or illness to you or any member of your party. However, please note: liability will only be accepted if you can prove that the death, injury or illness was caused by the negligence of HitHolidays, its servants or agents.

6.5 AIR AND SEA CARRIERS

No liability can be accepted for any negligent acts or omissions of air or sea carriers, whose responsibilities are governed by international convention, which may limit or exclude liability.

6.6 COACH AVAILABILITY

We shall not be responsible in the event that any named host coach is not available as a consequence of injury, illness or any other reason beyond our control.

6.7 FORCE MAJEURE

⚠ IMPORTANT: We cannot accept liability in any circumstances where performance and/or prompt performance of the contract is prevented by reasons of war, threat of war, civil strife, riots, terrorist activities, industrial disputes, communicable diseases, natural and nuclear disaster, fire or adverse weather conditions.

6.8 LIMITATION OF LIABILITY

Our liability is limited to the cost of your trip booking. We are not liable for indirect or consequential losses.

7. Changes to Itinerary

We plan the arrangements for our experiences many months in advance and although it is unlikely that we will have to make any changes to confirmed arrangements, it does occasionally happen. We reserve the right to make such changes at any time.

Minor Changes: We reserve the right to make minor changes to the itinerary if necessary due to weather conditions, facility availability, or other unforeseen circumstances.

Major Changes: If we have to make a major change to your agreed schedule before your trip starts, you may choose either:

Accept the changed arrangements

Continue with your booking under the new arrangements

Swap to another experience

Transfer to another trip from us at the same price within 12 months of the original travel departure date

We will notify you as soon as possible of any significant changes.

8. Photography and Media

By accepting our Terms & Conditions you acknowledge that you may be photographed during your stay, along with other members of your event. These images may be used on our website or any of our social media platforms or for other marketing purposes.

Opt-Out: If you do not wish to be photographed or have your images used, please send an email to [email protected] before your trip.

9. Complaints and Issues

⚠ REPORT ISSUES IMMEDIATELY: In the unlikely event of there being something not to your liking whilst attending one of our events that is in our direct control, you must report it to us immediately.

On-Site Resolution: We are committed to resolving any issues during your trip whenever possible. By reporting problems immediately, we can take action to rectify the situation while you are still on the trip.

Formal Complaint Procedure:

  1. Report immediately during your trip to our on-site representative or contact Miles Bromilow
  2. If the matter cannot be rectified immediately, submit details in writing to [email protected]
  3. Time limit: Written complaints must be received no later than 7 days after your date of return

⚠ IMPORTANT: Unless there is a valid reason why you fail to report your complaint to us, we will not consider ourselves to be liable in respect of complaints which were not registered. We will not accept liability in respect of claims received outside the 7-day period.

10. Data Protection and Privacy

We collect and process personal data in accordance with UK data protection laws and GDPR.

Your personal information will only be used for the purposes of managing your booking and providing our services.

We will not share your data with third parties except as necessary to fulfill your booking (e.g., accommodation providers, coaches).

11. Intellectual Property

All content on this website, including text, images, logos, and design, is the property of HitHolidays and is protected by copyright laws.

You may not reproduce, distribute, or use any content without our written permission.

12. Governing Law

The Contract shall be governed, construed, interpreted and shall take effect solely in accordance with the laws of England and Wales and shall be subject to the exclusive jurisdiction of the English Courts with regard to any and all disputes arising between You and Us.

13. Changes to Terms

We reserve the right to update these Terms and Conditions at any time. Changes will be posted on this page with an updated "Last Updated" date.

Your continued use of our services after changes are posted constitutes acceptance of the updated terms.
